Terms & Conditions

Welcome to Urban Tribe. These Terms & Conditions are designed to help create a safe, respectful, and enjoyable environment for all families attending our sessions.
By booking or attending an Urban Tribe session, you agree to the following terms.

1. About Urban Tribe
Urban Tribe is a community-based play organisation providing child-led play sessions for children and their families.
Urban Tribe is not a childcare provider. Parents and carers remain responsible for their children at all times during sessions.

2. Booking & Payment

  • All sessions must be booked in advance unless otherwise stated.
  • Payment is required at the time of booking.
  • Bookings are non-transferable unless agreed otherwise by Urban Tribe.
  • Confirmation of booking will be sent via email.

We reserve the right to refuse or cancel bookings where necessary for safety, safeguarding, or operational reasons.

3. Parent / Carer Responsibility
Parents and carers:

  • Must remain on-site during sessions
  • Are responsible for supervising and supporting their children
  • Must ensure children behave respectfully towards others, equipment, and the venue
  • Must provide accurate medical, behavioural, or additional needs information relevant to participation and safety

Urban Tribe staff and volunteers facilitate the environment but do not assume parental responsibility for children attending sessions.

4. Safeguarding
Urban Tribe is committed to creating a safe environment for children and families.
We reserve the right to:

  • Remove individuals behaving in a way that compromises safety or wellbeing
  • Refuse attendance where safeguarding concerns arise
  • Share information with relevant authorities where legally or ethically required

Any safeguarding concerns should be reported to an Urban Tribe organiser immediately.

5. Health & Safety
While reasonable precautions are taken, participation in play activities involves a degree of inherent risk.
By attending Urban Tribe sessions, participants acknowledge that:

  • Children may engage in active, creative, outdoor, or mildly risky play
  • Minor bumps, scrapes, or accidents can occur during normal play activity

Parents/carers are responsible for assessing whether activities are appropriate for their child.
Suitable clothing and footwear should be worn, particularly during outdoor sessions.

6. Illness
Please do not attend sessions if you or your child:

  • Have a contagious illness
  • Have experienced sickness or diarrhoea within the previous 48 hours
  • Are otherwise unwell in a way that may impact others

Urban Tribe reserves the right to refuse attendance where illness may pose a risk to other participants.

7. Photography & Media
From time to time, photos or videos may be taken during sessions for promotional or community purposes.
We will always:

  • Seek consent before using identifiable images
  • Respect preferences regarding photography
  • Never knowingly publish children’s names alongside images without explicit consent

Parents/carers are asked to respect the privacy of other families when taking personal photographs during sessions.

8. Behaviour & Respect
Urban Tribe is built on community, kindness, and shared responsibility.
We ask all participants to:

  • Treat others respectfully
  • Respect equipment, resources, and venues
  • Help maintain a welcoming environment for all families

Aggressive, abusive, discriminatory, or unsafe behaviour may result in removal from sessions.

9. Community Features (“Build Your Tribe”)
Urban Tribe may offer optional community features that allow families to connect with one another.
By choosing to use these features:

  • You consent to limited sharing of relevant booking/activity information with your approved connections
  • You understand that these features are optional and can be disabled or removed at any time

Urban Tribe will never intentionally share sensitive child information through these features.

10. Cancellations & Refunds
If Urban Tribe cancels a session, participants will usually be offered:

  • A refund, or
  • A transfer to another session

Participant cancellations:

  • More than 7 days before a session: full refund
  • 48 hours–7 days before: refund only if space can be refilled
  • Less than 48 hours before: non-refundable except in exceptional circumstances

We understand family life is unpredictable and will always try to act reasonably and fairly.

11. Data Protection & Privacy
Urban Tribe processes personal data in accordance with applicable UK data protection legislation, including the UK General Data Protection Regulation (UK GDPR) and the Data Protection Act 2018.

12. Limitation of Liability
Urban Tribe accepts no responsibility for:

  • Loss, theft, or damage to personal belongings
  • Injuries arising from failure to follow instructions or supervise children appropriately
  • Circumstances outside our reasonable control

Nothing in these terms excludes liability where it cannot legally be excluded under UK law.

13. Changes to These Terms
We may update these Terms & Conditions from time to time. The latest version will always be available on our website.
